DocHawk™ : Subscription vs. Licensing

Subscribing to DocHawk Platinum™

A subscription is basically the same as renting the use of software and services.  For a minimal quarterly or annual fee, the DocHawk™ client software is loaded onto the BlackBerry® handheld device.  This allows the user to forward and process any and all document types through our hosted service.  At the end of the commitment, the service is either renewed by the end-user for a fee, or terminated at the customer’s discretion.  Terratial will notify the user near the end of the time period so that pre-emptive action can be taken to ensure that service is not disrupted.  We do not, however, bill you for the renewal automatically….ever!

The benefits of subscribing to a service are that it includes software maintenance and support at no additional charge.  So, if new features or fixes are developed during the subscription period, the subscriber gets these upgrades for no additional cost.  

For many individuals and small businesses, subscribing to a service gives them enterprise applications for improving productivity without having to acquire new hardware and software at a high price.  With DocHawk™, the rent vs. buy decision is not always cost, but might also be due to a lack of internal IT support and resources.  This decision becomes more interesting as the company grows because if growth is expected, there will be a point when the software is cheaper to buy rather than to subscribe.  For DocHawk™, looking at the cost over the course of 2-3 years may justify the purchase of the software for a one-time fee.  One should consider the purchase option at approximately 25 users, and if the entity prohibits third party hosted applications.

Purchasing DocHawk Server™

DocHawk Server™ and client access licensing is available for a one-time purchase for on-premises deployments.  This acquisition model should be considered at approximately 25+ clients.  It may also be a company’s only decision should the entity have strict guidelines regarding the use of 3rd-party off-site (hosted) services.  Hospitals, CPA firms, schools, and many law firms choose to purchase DocHawk Server™ and the client licenses for private deployment behind their own firewall.  In this scenario, the customer purchases the perpetual right-to-use licenses once, but pays a minimal annual support fee (typically 20%).  Increasing the number of users that can use DocHawk™ is as easy by paying for the additional licenses via credit card or purchase order.

The purchase option has other benefits.  For example, the document page limit can be modified or eliminated entirely.  Further, the message store can be minimized to retain documents for only hours, or an entity can choose to keep documents available for viewing indefinitely.  Processing time for documents can be improved due purely to the fact that the number of users competing for processing time is a fraction of what Terratial processes daily for it’s many thousands of customers from 30 different countries using the public Internet.  When you purchase DocHawk Server™, the access and processing is private and exclusively yours, and if you have an intranet, use of the public Internet is further minimized.

So, while some customers appreciate the ease of subscribing, others prefer to purchase a perpetual server license for on-premise use, not only to potentially save money by paying a one-time fee but to have full control of the application including privacy, customization, and workflow integration.

Try DocHawk™ Before You Buy

DocHawk™ is available for you to try on your BlackBerry® via a simple OTA download.  You can point your BlackBerry®’s browser to: www.terratial.com/qdhc.  All you have to do is follow the simple instructions: select your device model, download, and then select your carrier.  It takes less than 5 minutes!  YOU MUST SUBMIT ONE DOCUMENT for the trial to activate correctly.  This step establishes the necessary security handshake to activate the trial. You will then have unlimited access to the service for 3 days.  You will be notified once on day 2 that your trial is about to expire, and assuming you are satisfied with the performance of DocHawk™ you can purchase it via our store and your credit card, or we can arrange to invoice you. If the trial period is too short for your evaluation purposes, do not hesitate to contact sales@terratial.com to request a trial extension.

On-Site Evaluations

If our three-day trial period is not adequate, or if you wish to conduct an on-site server trial with up to 10 clients, simply call or write to us at sales@terratial.com.  We welcome the opportunity to conduct longer trial periods on your site should the need arise.  DocHawk™ can be installed on the same server as BES, or on a separate small server.  DocHawk™ can be installed with or without POP3 and SMTP protocols if desired.

Cost

DocHawk Platinum™ subscriptions have by far the best price/performance when it comes to e-mail attachment viewing on the BlackBerry® since they are between 30%-50% less expensive than most competitors. Assuming a 264 day work year, DocHawk™ subscribers pay less than $0.25 per day retailing at $59.95 per yerar. Quarterly subscriptions are also available for $19.95.

At approximately 25 end-users, DocHawk Server™ will be the most economic choice over a two year period of time and significantly more cost effective in year three. Submit quote requests to sales@terratial.com.

Reliability/Performance

The DocHawk Platinum™ service is connected to the Internet via multiple fault-tolerant line for optimal throughput. Be aware, however, that performance and processing times may vary due to common Internet and wireless networking performance issues, such as peak usage times, unknown outages, and limited cell phone coverage. Additionally, there are currently tens of thousands of DocHawk™ subscribers worldwide. Typical processing times are 30-45 seconds, but if speed and performance are critical to your operations, seriously consider an on premises deployment solution.

On premises deployment will significantly improve performance due to the dedication of the software of DocHawk™ to your group of users only. On average, this can reduce reponse times to 5-15 seconds. DocHawk™ can take advantage of private intranets, or can be installed as a service which can also contribute to reducing processing times.

In all conditions, DocHawk™ will focus on readability of the document. If the document size is considerable, you will still be able to read the document, but the color depth may be reduced to observe bandwidth regulations.

Service Level

The performance of the hosted servers are monitored 24/7. Our customer support service goals are to respond within to all inquiries within two hours between the hours of 10am-5pm Eastern Standard Time. Typically, support response times are closer to within 15-30 minutes.

Privacy

Some customers have an issue with forwarding potentially very confidential documents to a third party server. While privacy is a separate issue from the security and encryption of the transmitted document it is nevertheless a relevant concern. Having privacy issues is certainly a reason for purchasing the system versus outsourcing the service.
